Responsibilities

We, Mr. Service Auto Repair Workshop, are committed to providing the finest auto repair and maintenance services in Rwanda. We are currently seeking an energetic and dynamic team member with a background as a Front Desk Clerk/Receptionist to join our family.

As a Front Desk Clerk, you will be the initial point of contact for our clients and responsible for a wide range of essential front desk administrative duties, including:

  • Receiving vehicles entering the garage.
  • Answering phone calls and warmly greeting clients.
  • Making appointments, welcoming customers, analyzing their needs, and offering services on a daily basis.
  • Initiating the first contact with customers to understand and comprehend their statements regarding their vehicle breakdowns.
  • Recording necessary information on the vehicle, such as the make, license plate number, chassis number, date of entry, and customer contacts.
  • Creating a comprehensive checklist of the material elements onboard the vehicle.
  • Forwarding the vehicle to a skilled garage technician for diagnosis and quote preparation, which will be presented to the customer for approval.
  • Effectively communicating customer requests to the garage technician and preparing the repair order.
  • Ensuring that the garage technician has conducted the initial diagnosis properly to predict the intervention duration and committing to a restitution date.
  • Scheduling appointments for customers to pick up their vehicles as agreed upon by the garage technician.
  • Regularly following up on the progress of repair works to fulfill the promises made to customers.
  • Organizing the smooth pickup and return of vehicles, facilitating seamless communication between the garage and customers.
  • Providing clear explanations of the work done on customers' vehicles upon their return.
  • Being attentive to customer constraints and carefully considering the vehicle's downtime while efficiently organizing work.
  • Acting as a key contact person on behalf of Mr. Service Auto Repair Workshop, representing our brand with professionalism and courtesy.
  • Ensuring the proper return of vehicles and the materials received during the initial reception.
  • Obtaining clients' signatures when returning automobile keys or license plates, ensuring a smooth handover.
  • Providing exceptional customer service to all clients and expertly directing them to the appropriate person or service.
  • Maintaining a clean and organized front desk area and waiting room, creating a welcoming environment for clients.
  • Assisting customers with inquiries, promptly providing accurate information about services, pricing, and appointment availability.
  • Managing customer complaints or concerns, taking swift action to ensure timely resolution and customer satisfaction.
  • Collaborating closely with the service team to ensure a streamlined workflow and efficient service delivery.
  • Maintaining inventory of office supplies, replenishing as needed to ensure smooth operations.
  • Updating and maintaining customer records and databases with meticulous attention to detail.
  • Assisting in coordinating and organizing promotional events or special offers to enhance customer engagement.
  • Collaborating with other team members to optimize customer service processes and continuously improve the overall customer experience.
  • Staying up-to-date with industry trends, new service offerings, and competitors' activities to remain competitive in the market.
  • Adhering to company policies, procedures, and safety guidelines at all times.
  • Contributing to a positive and collaborative work environment, fostering teamwork and mutual support among colleagues.
Qualifications
  • Diploma or equivalent qualification.
  • Minimum of 1-2 years' proven experience in a similar role.
  • Good understanding of office administration, vehicle inspection on arrival, and basic bookkeeping practices.
  • Superb written and verbal communication skills in English, French, and Kinyarwanda.
  • Excellent organizational and multi-tasking abilities.
  • Strong knowledge of MS Office programs such as Excel, Word, and PowerPoint.
  • Proficient in using computers and comfortable with technology.
